Timesheet Reprocessing

In the Track application, timesheets are sent daily by Track to the ERP system. The Timesheet Reprocessing feature allows Track Coordinators to resend rejected timesheets or timesheets that have not been received by the ERP, depending on how the ERP interface is set up.

 

The Enable Resending of Timesheets must be enabled at the Location Settings screen in the Track application to reprocess timesheets. Additionally, permission to resend a timesheet, INV.TS: User can Resend Timesheets, must be assigned to any users performing this task. This permission can be added to the users’ pre-defined profile in the TrackAdmin application. Once the permission is assigned to the users’ pre-defined profile and the setting is enabled, users will see the Resend link on the Allocation Detail Manager screen, also known as Timesheet Central.

 

Track sends timesheets to the ERP at pre-defined intervals based on the interface settings. Sometimes, situations may occur when timesheets are unsuccessful in sending to the ERP. For example,

When one of these situations occurs, Track Coordinators can resend these timesheets through the Timesheet Reprocessing feature.

 

Track can be implemented with the ERP using the one-way or the two-way interface.

 

On the Allocation Detail Manager screen, users will see different ERP statuses in the Allocation Detail grid. The ERP statuses displayed under the ERP Status column will help determine if the timesheets need to be reprocessed. The ERP statuses are:

ERP Status

Description

Ready to Send

The Ready to Send status indicates that Track is ready to send the authorized timesheets to the ERP.

Sent, Document Received

The Sent, Document Received status is used with the ERP two-way interface as part of the ERP timesheet processing. This ERP status confirms that Track sent the timesheets to the ERP and that the ERP sent a confirmation number back to Track.

Sent

The Sent status confirms the timesheets are sent to the ERP if the ERP one-way interface is implemented. It is recommended that users should check their ERP before utilizing the Timesheet Reprocessing feature.

 

If the ERP two-way interface is part of the timesheet processing, the Sent status indicates the ERP has not received the timesheets. However, the Sent status can also mean that the ERP receives the timesheets, but a confirmation number has not been sent back to Track. It is recommended that users should check their ERP before utilizing the Timesheet Reprocessing feature.

Rejected

If the ERP rejects timesheets, run the Rejected Timesheets report to review the reasons for rejections. If applicable, users can resend the timesheets with the Rejected status.

 

The ERP Last Modified Field column indicates when the timesheets are sent to the ERP. The date and time for the ERP status can help Track users clarify the ERP timesheet processing status.

Resend a Timesheet

  1. Hover a mouse pointer over Invoices.

  2. Drop down to Timesheet, then select Central to open the Allocation Detail Manager screen.

  3. Select an organization from the Organization drop-down list.

  4. Enter a date into the From text box or select a date from the calendar.

  5. To select a date range, click the checkbox to enable the To text box.

  6. Enter a date into the To text box or select a date from the calendar.

  7. Ensure the following checkboxes are selected:  

NOTE: Timesheets with the Completed or Void status cannot be resent.

  1. The timesheets are displayed in the Allocation Detail grid. Click a checkbox on a line item to select the timesheet with the Sent or the Rejected status.

  2. Click the Resend link. The ERP status for the selected timesheets changes to Ready to Send. The date and time under the ERP Last Modified column are updated. The ERP integration will send all timesheets with the Ready to Send status under the ERP Status column in the next integration cycle.
